About the role
The CEO Executive Assistant at the associate level provides comprehensive administrative and personal support to the Chief Executive Officer, ensuring smooth daily operations and allowing the CEO to focus on strategic priorities. This role demands exceptional organization, discretion, and the ability to manage both business and personal matters with professionalism and confidentiality.
Key responsibilities
- Manage and maintain the CEO’s complex calendar, scheduling meetings, appointments, and events.
- Coordinate domestic and international travel arrangements, including flights, accommodation, and itineraries.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Screen calls, emails, and correspondence, responding or prioritizing as needed.
- Prepare reports, presentations, meeting agendas, and briefing materials.
- Take minutes during meetings and follow up on action items.
- Handle confidential documents and sensitive information with discretion.
- Support organization of company events, board meetings, and executive sessions.
- Manage personal tasks for the CEO, such as appointments and reservations.
- Track deadlines and ensure timely completion of tasks and projects.
- Assist in basic project coordination and cross‑departmental follow‑ups.
Required profile
- Bachelor’s degree in business administration or a related field.
- 1–3 years of experience in a similar executive assistant or administrative role.
- Strong sense of ownership, initiative‑taking, and passion for change.
- Excellent organizational, problem‑solving, and confidentiality skills.
Required skills
- Proficiency with standard office software (e.g., word processing, spreadsheets, presentation tools).
