About the role
The Human Resources Officer will support daily HR activities, ensuring employee records are accurate and HR processes are carried out in line with company policies and local regulations. This entry‑level position is ideal for fresh graduates seeking practical experience in a structured HR environment.
Key responsibilities
- Maintain up‑to‑date employee records in KayanHR and other HR systems.
- Organise and upload contracts, identification documents, certificates and other employee files.
- Assist with onboarding, orientation, probation follow‑up, transfers and off‑boarding.
- Prepare standard HR letters, certificates, forms and internal correspondence under supervision.
- Monitor attendance, leave, lateness and working‑hour records; follow up on missing data.
- Prepare monthly attendance and leave reports for payroll processing.
- Collect and verify payroll‑related information such as unpaid leave, overtime, allowances and deductions.
- Support recruitment by posting vacancies, screening applications, scheduling interviews and communicating with candidates.
- Maintain recruitment trackers and update vacancy status.
- Assist in preparing offer letters, employment contracts and new‑hire documentation.
- Coordinate collection of documents for visas, work permits, medical insurance and other employment procedures.
- Monitor expiry dates of employee documents and follow up on renewals.
- Help monitor probation periods and coordinate performance evaluations with department heads.
- Respond to routine employee inquiries on HR policies, attendance, leave, benefits and procedures.
- Support implementation and communication of HR policies and procedures.
- Assist in organising employee training, engagement and recognition activities.
- Maintain confidentiality when handling employee records and sensitive information.
- Prepare basic HR reports and trackers as requested.
- Perform general administrative and HR support tasks as assigned.
Required profile
- Bachelor’s degree in Human Resources, Business Administration or a related field; fresh graduates are encouraged to apply.
- Basic understanding of human resources principles and practices.
- Familiarity with labor regulations is an advantage.
- Strong attention to detail, accuracy and good organisational skills.
- Willingness to learn and develop practical HR knowledge.
