Purchasing Supervisor – Hotel Procurement

About the role

The Purchasing Supervisor will lead the hotel’s procurement function, ensuring timely, cost‑effective, and compliant acquisition of goods and services across all departments. This role works closely with internal teams and external suppliers to support seamless hotel operations.

Key responsibilities

• Supervise daily purchasing activities for all hotel departments, including F&B, Housekeeping, Front Office, Spa, Marketing, and Administration.
• Review purchase requisitions and prepare purchase orders in line with company policies.
• Monitor open purchase orders, follow up with suppliers, and coordinate urgent purchases to avoid operational disruptions.
• Develop and maintain strong relationships with approved suppliers; source new vendors and evaluate performance.
• Negotiate prices, payment terms, and contracts to achieve best value.
• Conduct market surveys to identify cost‑saving opportunities.
• Monitor inventory levels, work with storekeepers and receiving teams, and support inventory counts and month‑end closing.
• Analyze purchasing trends and recommend cost‑saving initiatives while maintaining quality standards.
• Ensure accurate documentation of purchase orders, quotations, invoices, and contracts; coordinate with Finance for invoice processing.
• Prepare purchasing and supplier performance reports and maintain audit‑ready records.
• Guarantee compliance with IHG procurement policies, internal controls, and local regulations; support internal and external audits.
• Supervise Purchasing Officers and support staff; collaborate with department heads to understand requirements.
• Assist the Purchasing Manager in improving procurement processes and promote teamwork.

Required profile

• Bachelor’s degree in Business Administration, Supply Chain Management, Hospitality or a related field.
