Project Administration Assistant – JILMI Project

About the role
The IUCN Regional Office for West Asia (IUCN‑ROWA) is looking for a Project Administration Assistant to support the JILMI project. Working under the Water and Climate Change Programme Manager, you will ensure smooth administrative, logistical and documentation processes across field sites and the Amman office.
Key responsibilities
- Draft agreements, contracts and MoUs in line with IUCN policies and donor requirements.
- Submit, track and follow up on project‑related payments in coordination with Finance.
- Support procurement processes, ensuring all documentation complies with IUCN procedures.
- Maintain a comprehensive digital archive of contracts, payments and project documents.
- Coordinate logistics for meetings, workshops, field visits and events, including venue, travel and participant support.
- Serve as primary liaison between field teams and the Amman office, arranging calls and meetings.
- Prepare minutes, track action points and manage official correspondence with stakeholders.
- Organise field missions to Yarmouk, King Talal Dam and Kafrain, handling travel and local arrangements.
- Manage project inventory, calendar, deadlines and stakeholder contact lists.
- Update project actions in IUCN’s project portal and provide general administrative support to the Project Coordinator and Programme Manager.
Required profile
- Bachelor’s degree in Business Administration or a related field.
- Minimum 4 years of experience in project administration, preferably with international NGOs or development programmes.
- Proven experience in contract coordination, procurement support and compliance with donor policies.
- Experience working on multi‑stakeholder projects involving government partners and field operations.
