Travel Services Officer – UNRWA

About the role

The Travel Services Officer manages all travel‑related processes for international staff at UNRWA, from onboarding through separation. The role ensures compliance with UNRWA travel policies, host‑country regulations, and supports staff with visas, UN Laissez‑Passer, duty‑free privileges and customs clearance.

Key responsibilities

• Coordinate travel authorizations, ticketing, visas, UNLPs and duty‑free privileges for newly appointed staff and provide guidance throughout their assignment.
• Oversee return travel arrangements, clearance of personal effects and disposal of duty‑free vehicles at separation, ensuring compliance with host‑country rules.
• Approve travel requests, tickets, invoices and claims for official, emergency, medical evacuation and VIP travel in line with UNRWA travel regulations.
• Manage customs clearance for official shipments, office equipment, vehicles and staff personal effects, including VAT refunds and vehicle registration.
• Develop and implement standardized onboarding plans, SOPs and protocols to ensure a smooth arrival and settlement for new hires.
• Provide strategic support to the supervisor, including drafting procedural instructions, preparing audit reports and monitoring the Travel Management System (TMS) automation.

Required profile

• Demonstrated ability to plan, organize and lead a team, supervising Travel Assistants and professional staff.
• Strong networking and client‑orientation skills, maintaining relationships with ministries, embassies and local authorities.
• Accountability and adherence to UN Core Values of integrity, professionalism and respect for diversity.
• Experience in developing and revising standard operating procedures and ensuring compliance across field offices.
• Ability to produce accurate management reports, statistics and audit documentation.
