Export Documentation Executive

About the role

We are looking for an Export Documentation Executive to oversee export bookings, prepare shipping documentation, and ensure compliance for container and RORO shipments. The role involves close coordination with customers, shipping lines, agents and internal teams to guarantee smooth export operations.

Key responsibilities

• Manage export booking requests and coordinate vessel space with shipping lines.
• Register and update bookings in carrier and internal systems.
• Prepare booking confirmations, cargo release orders, shipping instructions, manifests and operational reports.
• Draft, review, amend and finalize bills of lading according to customer and destination requirements.
• Handle IMO approvals, VGM validation, pre‑gate requirements, AMS filing and shipment routing updates.
• Prepare export invoices, ensuring freight and additional charges are accurately captured.
• Review carrier and disbursement invoices and generate payment orders.
• Coordinate with customers, shipping lines, agents, operations, finance and documentation teams.

Required profile

• Previous experience in export documentation within a shipping line, freight forwarding or logistics company.
• Strong knowledge of bills of lading, export bookings, shipping instructions, manifests, invoicing and container operations.
• Familiarity with shipping line systems and export documentation procedures.
• Excellent communication, coordination and customer service abilities.
• High attention to detail and ability to work accurately under operational deadlines.
• Fluent in English and Arabic.

Required skills

• Proficiency in Microsoft Office applications.
