Maintenance Administrator

About the role

The Maintenance Administrator is responsible for total facilities management of food & beverage stores, offices, commissaries, malls and other properties across the region. Working closely with the Country Maintenance Supervisor, the role handles both reactive and preventive maintenance administrative tasks and AMC management.

Key responsibilities

• Manage projects and handovers, including NSO & remodel documentation, site inspections, and uploading data to the Service Max maintenance system.
• Coordinate off‑premises projects with suppliers, operations and field teams; prepare brand‑wise equipment reports and track asset replacements.
• Maintain and update various trackers such as AMC implementation, CAPEX, and refurbishment trackers.
• Oversee CAPEX kitchen equipment warranties, analyse breakdown causes, monitor service‑provider performance and report concerns to procurement.
• Schedule and lead weekly/monthly meetings with internal teams, AMC vendors and operations; prepare analysis reports on maintenance activities and spend.
• Support field teams via the Service Max system, monitor schedules and performance, and prepare purchase requests for daily maintenance work.

Required profile

• Minimum three years of administrative experience in facilities, construction, maintenance, MEP, HVAC or operations.
• Strong communication, time‑management and stakeholder‑management skills.
• Proficient in Microsoft Office and fluent in English.
• Self‑motivated, independent worker able to take limited direction and make sound decisions.
