Purchasing Manager

About the role

The Purchasing Manager is responsible for acquiring the products and services the organization needs at the best price, quality, and quantity, while meeting timelines and supporting profitability and customer satisfaction.

Key responsibilities

• Plan, coordinate and monitor all purchasing activities, including requisition handling, supplier selection, customs clearance and payments.
• Supervise direct reports, schedule staff, and ensure discipline and productivity within the department.
• Collaborate with department heads to understand needs, source suppliers, obtain at least three quotes when feasible, and keep them informed of order status.
• Maintain vendor lists, price databases, and tracking systems for purchase requests, claims, and loss/damage reports.
• Verify payment vouchers and ensure invoices match purchase orders before coordinating with finance.
• Develop and sustain relationships with local and international suppliers, customs officials, and tax agents.
• Apply for necessary permits and licenses for overseas orders and stay updated on market prices and trade fairs.
• Prepare monthly purchasing analysis reports and attend relevant meetings.

Required profile

• Proven experience supervising a purchasing or procurement team.
• Strong ability to coordinate with multiple internal departments and external partners.
• Knowledge of customs procedures, permits, and international trade regulations.
• Excellent organizational skills for maintaining vendor data and tracking purchase requests.
• Capability to recruit, schedule, and motivate department staff.
